Birthday Party Planning Checklist

A working timeline from four weeks out to the day itself, for a party you are organising alone.

Most party stress comes from doing things in the wrong order. This is the order that works.

Four weeks out

Pick the date and check it. Two or three key people first. If the people the party is actually for cannot come, nothing else matters.

Set a budget. A rough number is enough, but have one, because every decision below is downstream of it.

Book the venue if it is not your house. Four weeks is about the minimum for anywhere popular on a Saturday.

Draft the guest list. Write it out properly, because you will otherwise forget someone and remember at the worst moment.

Three weeks out

Send the invitation. Three weeks is the sweet spot: enough notice to be taken seriously, not so much that it is forgotten. Set the RSVP deadline for one week before the event.

Sort food and drink in principle. What kind, roughly how much, who is making or supplying it.

Book anything with a lead time. Cake, catering, entertainment for a children's party.

Two weeks out

Chase nothing yet. Replies come in slowly and this is normal.

Plan the shape of the day. When people arrive, when food happens, when the cake comes out, when it ends. A party with no shape drifts.

Sort music. A playlist long enough to outlast the event by an hour, so nobody is choosing songs at 10pm.

One week out

RSVP deadline lands. Send one reminder to the people who have not replied, and only to them.

Confirm numbers with the venue or caterer.

Shopping list. Everything, written down, including the things you will forget: ice, bin bags, spare glasses, something for people who do not drink.

Two days out

Buy everything non-perishable.

Charge speakers, find cables, check anything electrical actually works.

Confirm anyone helping knows what they are doing and when they are arriving.

The day before

Perishables and ice.

Prepare anything that keeps.

Set up whatever can be set up. Tables, seating, decorations. The single biggest reduction in day-of stress.

The day itself

  • Set up the food and drink area first, since it is where everyone congregates
  • Music on before anyone arrives, so the room is not silent for the first guest
  • Get someone to take photographs, because you will not
  • Eat something early
  • Delegate. People offer to help and mean it

The things people forget

  • Somewhere for coats
  • Enough bins, and spare bags
  • Non-alcoholic options that are not just tap water
  • Phone chargers
  • A plan for how the event ends, so it does not just trail off
